How Dashdata Can Start Saving Your Business Money:

In-house data entry Small business - Engineering drawings Large business - Complete archive

Background

A medium sized tool shop of 14 employees for an injection mould plant records daily work logs for quoting, billing, employee tracking and maintenance analysis.

Each day every toolmaker records hours worked for specific tasks on specific tools being manufactured or repaired. At the end of the week each employee would staple copies of their work logs to every corresponding work order in their respective bin.

The following week a part time data entry clerk would come in three days a week for eight hour shifts and input the raw data into a crude excel sheet for the manager and file the paperwork into filing cabinets.

Breakdown

  • 14 employees were generating a total of ~200 pages of work logs a week with approximately 15 fields each
  • An additional ~200 pages were being photocopied and stapled to their respective work order
  • An average of 50 work orders came in a week with three key fields
  • To employ a data entry personnel was costing the company over $360 a week

Cost comparison

  • By scanning the logs permitted double sided printing and no need to physically attach a copy to the work log, reducing the printed sheets to ~150 saving ~300 sheets of paper EVERY week.
  • 100 double sided sheets at ~30 fields a page = $180
  • 50 scanned work orders = $20
  • Server rental = $21/week

Savings

  • Dashdata was ~40% cheaper and over $7000 cheaper a year
  • The changes saved each mouldmaker conservatively 30 minutes a week or 364 hours/over $9000 a year in wages
  • ~300 sheets of paper were not wasted every week, over 15 000 annually
  • An easier system was introduced for management improving maintenance and improved estimations in process cost

Background

A small engineering firm required a one-time scanning of three dozen blueprints to be burnt to a CD.

Breakdown

  • The local copy center offered a self scan service at $6 a sheet = $216
  • An employee needed to drive to the copy center and perform the scanning
  • The saved images had to be transferred and burnt to a CD at the office

Cost comparison

  • The order total was too small to qualify for free pickup and delivery and there was a $25 pickup/drop off fee
  • 36 blueprints were scanned and labelled with the drawing number for $15.84
  • CD compilation was $15
  • Total $56

Savings

  • Dashdata was ~75% cheaper than the local copy center including processing and free pick up
  • The drawings were delivered same day

Background

A multinational industrial electronics manufacturer has over 200 000 engineering drawings from 1950 through 1990 comprised of blueprints, originals and sepias. The project was budgeted over a three year period. They wanted easy to use software to look up the drawings by name, number or date.

Breakdown

  • Competitors charge between $1-$2/scan and often name the file for free
  • In house scanning requires training, software and hardware starting from $15 000 onwards
  • No database or software is included for in house or competitor option.

Cost comparison

  • Dashdata offered 3 key fields, scanning, a complete database, and ready to use browsing software at $0.61 a sheet.
  • Even at 50% of our competitors rates dashdata was $122 000 cheaper than our competition over a three year period
  • The server rental/software fee is $1080 a year, significantly cheaper than designing software in house

Savings

  • Dashdata was ~50% cheaper than the competition and eliminated the need for development of custom databases
